Rutgers University Correctional Health Care (UCHC) is seeking a Secretary III for the Northern State Prison located in Newark, New Jersey. The Secretary III provides secretarial and general office support to the Mental Health staff at the prison.
Maintains efficient clinical record filing system meeting the needs of the department and the DOC clinical record guidelines.
Completes appropriate internal paperwork required by Unit, Prison, and UCHC; records employees' time and tracks leave balances to ensure accuracy with payroll; takes minutes at staff meetings.
Maintains an accurate data and filing system; initiates computer-generated reports of statistics.
Performs assigned copying, collating, and distribution of material requests required by Unit.
Maintains sign-in sheets and logs. Navigates various internet based systems for procurement. Assists with performance improvement measures including program performance processes. Uses excellent written and oral communication skills and mature discretion in handling patient-sensitive information, as position duties require interaction with a variety of employees, university staff, clients and external entities.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies plus two (2) years of full-time secretarial experience.
College credits may be substituted on a year-for-year basis for secretarial experience.
A maximum of sixty (60) credits or two (2) years of college attendance, may be substituted for two (2) years of secretarial experience.
Required Knowledge, Skills, and Abilities:
An additional year of experience is required in lieu of the secretarial program.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Typing, ability to work at varying computer workstations provided by the Department of Corrections in shared office environments, ability to speak clearly and write proficiently is essential, extensive reading required, extended sitting is required, ability to move from unit to unit within correctional facilities, frequently walks, bends, stretches, pushes and pulls, intermittent physical exertion when performing job activities, manual dexterity and mobility for charting, lifting of up to 50 pounds, hearing and sight are essential, may be required to travel within the state, ability to implement Universal Precautions and Safety Precautions
WORKENVIRONMENT: Able to function in a stressful environment and relates well to patients, security staff and healthcare team members. A generally crisis oriented, secure environment working with inmates, some who exhibit aggressive, threatening behavior. Individual must exhibit flexibility to work in a variety of settings. Entering and movement within the facility will be controlled by Correctional Officers.
Must be approved by the Department of Corrections (DOC) and adhere to all DOC requirements. Employees will be subject to and must comply with all security regulations and procedures of NJ Department of Corrections and the assigned facilities including, but not limited to sign in logs or electronic time clocks, searches of person and property, etc. Violations of NJ Department of Corrections and/or being banned by the Department of Corrections to work at a NJ Department of Corrections facility are grounds for a disciplinary action and potential termination.
