The Integrated Innovation Institute (III) at Carnegie Mellon University breaks down the silos that impede innovation. III is seeking a dynamic Administrative Coordinator at the Pittsburgh campus. In this role, you will provide professional support for the III across the Pittsburgh and Silicon Valley (SV) campuses. You will be responsible for providing day-to-day administrative support for the staff, faculty and students. You will work closely with department head or business manager to ensure that all projects and/or programs are run smoothly. You will also provide clerical/secretarial support for the program/project area.
Your core responsibilities include:
Acting as first point of contact for students and visitors and serving as a liaison between the III, other departments and external contacts
Providing Support with calendar/meeting for iii Director; occasionally supports other staff/faculty with specific meeting needs
Providing general office management: setting up and maintaining complex filing systems, initiating and processing purchase orders for office equipment and supplies, paying bills, etc.
Drafting correspondence, promotional materials, articles, reports, etc. concerning program/project area for supervisor's signature and/or approval
Providing in-depth information to faculty, staff, students, outside associates and the general public concerning particular programs and projects. Including interaction with faculty & staff at SV campus
Coordinating various clerical aspects of programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel itineraries, etc.
Serving as initial contact and liaison, providing information/coordination via phone or in person for funding agencies or other outside associations. Providing general information regarding research and non-research contracts.
Providing information regarding undergraduate and graduate programs such as, advisors, admissions process, faculty contacts, required courses, etc. Coordinates and carries out student registration and maintains the Student Information System for the department
Supporting iii facilities, classroom, conference room and building maintenance, distance-learning needs with CMU SV campus. Serving as liaison with various campus departments including physical plant to insure building maintenance, work orders completion, etc. or managing property to tag, track, etc. department equipment.
Producing and crafting regular reports and summaries. Responding directly to inquiries and requests regarding reports
Record-keeping for budgets, PTO's, schedules, student payroll transactions and/or contracts and monitoring expenditures for program/project area
Preparing agendas, crafting data, setting up and coordinating arrangements for meetings, conferences, workshops, etc. Taking and distributing minutes. Capturing data and producing statistical and narrative reports for meetings
Training and supervising work-study students and temporary clerical staff
Supporting iii special events throughout the academic year
Other responsibilities as assigned
