Position Summary: Uses professional employment and staffing techniques and concepts for employment, sourcing programs and policies for the organization. Employment and search efforts are of moderate scope and complexity. Works on staffing/employment for skilled operational and technical and professional level positions. Normally receives general direction on staffing and employment assignments, with more detailed direction provided on new or more specialized and complex assignments. Exercises judgment within defined staffing and employment procedures and practices to determine appropriate action. Works with internal and external contacts.

Duty 1: Temporary Program Support: - Arrange appointments for interviews and testing, and administer testing for TOPS applicants. When needed conduct reference checks for TOPS applicants. - Enter hours worked into TOPS hours worked spreadsheet. Under guidance update hours and extensions of appointments. - Independently audit TOPS employees' hours and vacation and benefit levels for adherence to CUE contract and UC personnel policy. - Maintain TOPS employee files. - Verify monthly recharge figures with timesheets. Send recharge profiles to departments. - Make arrangements and prepare folders for TOPS Employee Orientations. - Send TOPS Evaluations to hiring managers and employees, and follow up as needed. - Learn to interview and screen applicants and conduct reference checks. - Learn to advise managers on employment law and understand union policy. - Learn to advise managers on employment law and understand union policy. - Under general supervision, provides tools and training necessary to support a decentralized employment process. - May coordinate affirmative action and career development programs. Duty 2: - Work with recruiters to develop recruitment strategies for source and screening candidates by using social media and other professional networks. - Assist hiring team with recruiting methods, evaluate and screen resumes, cover letters and learn to develop interview questions - Heavy, complex interview scheduling that will consists of interview panels as well as external video conferencing - Prepare candidate interview folders to be presented to Interview Committees ( including Executive Search Committees) - Expense management and provision travel authorization for high profile candidates - Generate various reports to be presented to members of the Search Committee - Manage and track sensitive data for the Recruiting team - Work with Senior Recruiters to onboard external Retained Search Agencies - Serve as on-site host to high-profile candidates during in-person interviews - With oversight from Senior Recruiter, log, monitor and send completion notices for Background Checks and References Checks - Collect and analyze data on demographics and hiring activity for use in designing recruitment campaigns. - Independently provide standard response to routine employment inquiry letters addressed to President and Vice Presidents.
Works in a collaborative manner with assigned business units, other areas of HR and outside recruiters/agencies on matters pertaining to staffing needs. Function:Recruitment Scheduling and Support Percent: 50
Duty 3: - May assist in the preparation of marketing materials and scheduling of advertisements regarding organization career opportunities. - Publicize UCOP job postings through Internet / Web and traditional media, and work with external Recruitment Ad agency to support job posting activity. Provide counsel and expertise to managers in all areas of recruiting and outreach (e.g., diversity sources, Internet sources, and advertising, traditional advertising media, etc.). - Independently, reconcile process and file invoices from recruitment advertising firm and update log. - Independently post Courtesy and extensions of current postings in CATS. Provide backup in reviewing, editing and posting UCOP positions in CATS as needed. Update extensions of postings in Requisition Activity Log. - With oversight from Senior Recruiter, review filled positions and follow up with managers on closeout documentation in CATS. Develop skills set to maintain the TA applicant system as the SME for the PeopleAdmin. - Provide backup in reviewing and data entry review of People Soft data entry processing.
Participates in employment advertising campaigns and programs. Function:Maintain Talent Acquisition System (People Admin) and Advertisement Support Percent: 20
Duty 4: - Conducts research and analyzes data on assigned talent projects. (i.e. workforce planning and talent management competency development) - Conducts simple research and analyzes data on assigned projects. - Provide general administrative support as needed and requested by the Talent Acquisition Manager. Job Requirements Previous experience in recruiting or executive recruiting support
Experience with applicant tracking systems (ATS) and SharePoint
Ability to operate with a sense of urgency in a confidential environment and comfortable working to meet time-sensitive deadlines
Knowledge of other areas of HR

Must be a self-starter, highly detail oriented and exceptional organization skills
