Rutgers, The State University of New Jersey, is seeking an Executive Assistant to the Vice Chancellor (Chief of Staff), for the Director’s Office at the Rutgers Cancer Institute of New Jersey.
The Chief of Staff of the Rutgers Cancer Institute of New Jersey works closely with the Center Director on a wide variety of executive duties and initiatives. The Chief of Staff serves as a logistical resource to facilitate the development and implementation of the Cancer Institute's mission and goals; serves as a primary liaison between the Center Director and the Senior Leadership of the Cancer Institute and of RWJBarnabas Health; develops and coordinates special and high-priority projects and initiatives; handles questions, concerns, issues and requests on the Center Director's behalf; serves as a liaison to a variety of internal and external constituencies, societies and organizations as designated; works behind the scenes to solve problems, mediate disputes, and deal with issues before they are brought to the Director.
Among the key duties of this position are the following:
Ensures that the Center Director's vision is understood, advanced, and implemented. Also, ensures the effective direction and integrated management of the cancer center's activities is in line with the strategic vision.
Supports the Director in achieving goals and priorities by serving as a strategic liaison for the Director; ensures a unified understanding of and progress toward those goals and priorities by the Director's senior leadership team and across the RWJBH enterprise; ensures that areas of priority as identified by the Director are addressed in a timely and professional manner; monitors activities initiated to address such priorities and facilitates their progress; reviews action items decided upon, confirms the party responsible for following up on each action item, and stays involved through completion.
In collaboration with the Director is responsible for developing, implementing and managing center-wide and RWJBH-wide projects and initiatives frequently involving faculty, senior leaders of the Cancer Institute and/or RWJBH; works closely with senior leadership across the University, RWJBH, industry, government and community officials, as well as other external partners and allies in the development and implementation of strategies, plans and business models.
Coordinates internal and external communication on behalf of the Director including communication between the Director and other senior leaders of the Cancer Institute and RWJBH; encourages two-way communication and keeps the senior leadership team informed of matters of importance to them and to the cancer center; responds to inquiries of the Director's Office.
Ensures operational collaboration across the Cancer Institute, RBHS, Rutgers, UH, RWJBH and the RWJBH Oncology Service Line; assists in coordinating and implementing academic, administrative, operational and clinical initiatives with senior administrators, chairpersons, faculty and staff; key liaison with RWJBH in support of Senior Vice President, Oncology Services, RWJBarnabas Health; liaison to internal and external agencies on matters deemed appropriate by the Director.
Anticipates and mediates problems for the Director; prevents escalation of unnecessary issues to the Director; keeps the Director aware of unanticipated problems to be addressed, and frames/positions ideas to problem solve and mitigate risk; keeps the Director aware of unanticipated opportunities to be considered, and frames/positions ideas to capitalize on these opportunities; ensures alignment among the often disparate stakeholders and, when such alignment is absent, informs the Center Director and recommends mitigating approaches.
