Rutgers, the State University of New Jersey, is seeking a highly motivated Program Assistant for the Center on Gun Violence Research at the School of Public Health. The Center on Gun Violence Research seeks to create safe and healthy environments for NJ residents to live, learn, work, and play by providing high-quality, multi-disciplinary research on firearm violence causality and prevention and translate this research into clear and actionable policies and programs. The Center partners with relevant local-, state- and national-level experts, securing access to data to conduct and support research that identifies etiologic factors for firearm violence, develops and rigorously evaluates interventions to reduce the burden of firearm violence, and translates its science into effective programs and policies to better ensure their widespread adoption.
Under the direction of the Director, Center on Gun Violence Research, the Program Assistant is responsible for performing a wide variety of administrative services for the center and coordinates center support operations.
Provides administrative and program support to the Director, Center on Gun Violence Research and the Program Manager.
Serves as point of contact for the center across three campus locations, assisting with the scheduling of meetings, communications, maintaining records (ex. timesheets, minutes), and required reports to the state.
Plans, coordinates, and synchronizes the work of the center across three locations (Piscataway, Newark, Camden) to make maximum effective utilization of employees, equipment, resources, and materials within budgetary requirements.
Assists Program Manager in coordinating fiscal procedures and maintains records associated with grant accounts and state budgets. Tracks budgets for programs and ensures funds are utilized according to policy and regulations. Compiles necessary data and justification for projected expenditures.
Coordinates events and appropriate logistics (e.g., venues, ordering food, coordinating audio/visual needs, drafting and distributing invitations, tracking RSVPs), as well as communicates with faculty, staff, students, guests, and vendors in planning special events.
Serves as principal liaison with various administrative units of the University such as Purchasing, Accounts Payable, Human Resources, Payroll, etc.
Responds to external employee and management inquiries regarding Center events, speaking engagements, and website.
Maintains time and attendance records, schedules, and vacations.
Expedites and coordinates services such as maintenance, service and repairs, supplies, and mail.
Supervises the maintenance of records and files.
Minimum Education and Experience:
Bachelor's Degree in Business Administration or a related field.
Two (2) years of administrative experience in a government agency, university setting, or large business office with responsibility for office management, preparation of reports, etc.
Valid driver's license
Equivalent combination of education and/or experience that demonstrates knowledge and understanding of research coordination, organization, facilitation, writing, and communication can be substituted for degree.
Required Knowledge, Skills, and Abilities:
Computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, and PowerPoint, and web-based conferencing software.
Ability to prioritize tasks in a fast-paced environment with multiple competing demands.
Demonstrated exceptional organizational and record-keeping skills.
Demonstrated skills and motivation for effective partnering and/or maintaining collaborative relationships in successful initiatives.
Clear and effective oral and written communication skills.
Strong work ethics and problem-solving skills.
Ability to work independently and be a team player.
Physical Demands and Work Environment:
Must be able to lift or exert force up to 25 pounds.
Must have vehicle as individual will be required to travel to all University campuses.
Salary: PS21: $50,000 max
