The Program Coordinator (PC) is integral to the overall functioning of the clinic. The position must provide frontline representation, program development support, and extended institutional support. The individual fulfilling this role must apply a significant knowledge base of ambulatory care operations, provider and nursing roles, pertinent data requirements, and clinical program guidelines in order to support decision-making related to operational efficiency and effectiveness. Success in this role requires the ability to participate in change management processes and resilience in supporting patients through a terminal cancer diagnosis.Job Duties Multidisciplinary Clinic Support
Prepares materials for multidisciplinary clinic visits.
Creates, updates and/or monitors: New patient lists, education materials for the multidisciplinary clinics, contact lists, etc.
Works directly with the Clinic RN for patient scheduling and care coordination.
Drafts/prepares correspondence for patients and providers including letters to referring providers, faxes, etc.
Participates as an active member of the multidisciplinary team including attending regularly scheduled meetings, identifying opportunities for process improvement and problem solving. Tumor Board Management
Works closely with ABTC Clinical Directors to support the weekly tumor board.
Manages Tumor Board email list.
Gathers all relevant patient information from providers before tumor board.
Ensures that all necessary medical records are available prior to presentation.
Creates and maintains tracking tool for patients presented at tumor board.
Manages provider attendance for CME credit earned at Tumor Board.

Utilize spreadsheets, workbooks, and/or database software to maintain program and patient data.
Maintain effective relationships with community and referring providers including open lines of communication regarding any shared or referred patients.
Works to support clinic manager's data needs.
Provides clinic specific data, support, and analytics.Clinic Efficiency and Flow Support
Partner with nursing team and providers to identify needs, answer questions, resolve problems, provide information and follow up.
Collaborates with medical team to ensure that orders and requisitions are properly completed so that multidisciplinary clinic appointments can be scheduled efficiently.
Works with team to facilitate smooth transition of care to appropriate medical team, including working with partners at the SCCA, Harborview Gamma Knife and the Proton Center.
Serves as a team liaison and promotes communication with team members when appropriate in order to facilitate excellent patient care. Serves as primary point person for ABTC multidisciplinary clinic and tumor board.Operational Support and Other Duties
Proactively maintains the calendars for the ABTC Clinical Directors, including office calendaring and EPIC scheduling.
Supports goals and objectives of the clinic by participation as a team member in projects and /or work assignments. Works effectively with other UWMC staff across department lines.
Follows departmental and clinic policies and procedures to contribute to the efficiency of the clinic and to promote a safe environment.
Supports the clinic manager with general operational needs.
Exhibits excellent customer service skills.REQUIREMENTS:High school graduation or equivalent AND two years of experience in the program specialtyORequivalent education/experience.DESIREDProficient in Microsoft Office Suite. Specifically Excel, PowerPoint, Word and OutlookExperience coordinating physician appointments and patient servicesExperience taking, compiling and distributing notes in a complex environmentAdministrative experience preferably in oncology and multidisciplinary clinicsExperience with computer and data entry.Strong computer skills, EPIC/Cerner experience preferred.
