The purpose of this position is to provide administrative support to the Math, Science, Technologies and Business (MSTB) division, including the Dean, Associate Deans, and Office Manager. The Administrative Assistant helps to manage the day to day operation of the division office. This position will serve as the backup to the Office Manager.
Description of Duties and Tasks:
Office Administration: Provides sole coverage of the division office during the absence of the Office Manager; answers queries concerning course offerings and schedules for students; coordinates correspondence between faculty and students; collects syllabi, attendance sheets and other required items from faculty. Supervises all work study students; will also serve as a backup to the Office Manager in regards to managing the division budget as well as supervision of all division P-14 employees.
Adjunct Faculty Personnel Files: Assembles all documentation required for employment of new adjunct faculty; coordinates with HR for the credentialing of prospective adjuncts; obtains official transcripts, completes 105-47A forms and submits all paperwork for division Dean and Provost signatures. Scans all paperwork into ImageNow.
Textbook Requirements for Faculty and Campus Bookstore: Coordinates and submits textbook information to campus bookstore and orders desk and examination copies for instructor use each semester. Contact publishing company representatives, Associate Deans, and/or their designees and campus bookstore manager as needed.
eVA Ordering: Orders all office supplies and other items needed through the eVA (Electronic Virginia) system. Keeps track of all orders and obtains paid receipts from vendors.
Class Schedules: Inputs classes and faculty into class schedule in SIS.
Minimum Qualifications :
High School Diploma/GED or equivalent applicable experience and/or training. Prior experience working in a fast-paced office environment.
Associate's Degree in business administration or related field. Previous Experience using eVA and PeopleSoft. Prior experience working in a community college setting.
