Rutgers, New Jersey Medical School is seeking a Senior Management Assistant for ENT-Otolaryngology. The Senior Management Assistant performs and coordinates a wide variety of administrative activities within the department. Coordinates office support operations.
Among the key duties of this position are the following:
Prepares appointment packets, promotions and faculty evaluations.
Maintains current credentials on providers and auxiliary staff.
Serves as principal liasion between the practice and supporting organizations within Rutgers.
Maintains the Chairman’s schedules, monitors deadlines and ensure those deadlines are met, and prepares correspondence as requested.
Greets students, faculty and visitors and serves as a point of contact for any departmental questions.
Coordinates and manages the operational details for departmental events.
Provides general administrative and management support for the Department of Otolaryngology.
Coordinates office operations and serves as a liaison with various units and administrative offices throughout the university.
Answers telephones, reviews and sorts incoming correspondence, prepares outgoing mail.
Arranges meetings, notifies appropriate parties, prepares agendas, secures room space and distributes meeting minutes.
Assists in arranging and coordinating travel schedules and reservations for the Chairman.
Supervises otolaryngology staff on a daily basis as assigned by the Chairman.
Participates in weekly team meetings to review and communicate updates and program developments.
Performs other related duties as assigned.
Minimum Education and Experience:
Bachelor's degree in Health, Public Health, Social Work or other related field is preferred; plus two years clinical experience in an outpatient setting.
Must possess excellent written and verbal communication skills, strong organizational skills, detail oriented; able to function independently and work flexible hours; friendly; outgoing and sociable; open minded & non-judgmental.
Equivalent education, experience and/or training may be substituted for the degree requirements.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Computer literacy, typing, working at multiple workstations in a shared environment, ability to speak clearly, write proficiently, extensive reading, extended sitting, ability to move from unit to unit. Position requires standing and walking over 2/3 of the time. Talking, hearing & sight are essential; requires clear close & distance vision, peripheral & color vision, depth perception and ability to adjust focus. Position requires lifting up to ten (10) lbs.; on occasion more based upon patients demands.
