The Program on Negotiation at Harvard Law School is seeking a full-time Program Assistant to offer administrative support for its executive education offerings (Negotiation and Leadership, the Harvard Negotiation Institute and PON Global).
The Program Assistant is responsible for assisting the Program Managers to prepare and deliver a diverse range of executive education programs, including seven Negotiation and Leadership courses, two PON Master Classes, eight Harvard Negotiation Institute courses, and two PON Seminars. In addition the Program Assistant will provide general administrative support for the PON office and PON Global programs.
Program Delivery Responsibilities
For all programs the Program Assistant will:
Assist Program Managers with preparation of binders and teaching materials for each course
Assist Program Managers with advance memos and pre-course correspondence to participants
Prepare program certificates, nametags and seating arrangements, as needed
Use Cvent (our registration software) to set up online registrations for courses, prepare emails and surveys, generate reports
Receive, track and respond to attendee requests and questions; record details of action taken
Organize and maintain inventory for programs; ship supplies to each meeting, ensuring appropriate quantities and confirming arrival onsite.
Oversee registration table and assist Program Managers on site with smooth running of programs
Identify problems and troubleshoot when necessary.
Develop familiarity with and knowledge of the programs in order to effectively assist attendees and facilitate registrations.
Attend all course events.
Manage phone lines/email to respond to inquiries in a timely manner providing superior customer service
For the PON office, keep office orderly, greet visitors, order supplies and business cards, sort mail, arrange for meeting rooms, make copies as requested, arrange for parking permits, Check office voice mail, order A/V and food as needed.
This is a term appointment expected to extend through June 30, 2020, contingent upon continued available funding and business needs.

Minimum 3 years of administrative experience. Education beyond high school may count toward experience.
Bachelor degree preferred, along with interest in the field of negotiation and conflict resolution.
Strong customer service ethic.
Excellent time management, prioritization skills.
Ability to maintain timetables and meet deadlines.
Ability to communicate effectively.
Strong computer skills including Microsoft Office. Experience with Cvent and Word Press a plus.
Maintains positive and cheerful attitude, poise and employs good judgment.

Works well with a team.
