Required Qualifications: Per Civil Service Standards and Specifications. Must have taken and passed the specific job related Civil Service exam and be reachable on the appropriate Civil Service list. Selected candidate must pass required keyboarding proficiency test prior to appointment.
Preferred Qualifications: High School or equivalent. Experience working in a customer service environment. Strong communication skills. Intermediate experience with Microsoft Office Suite: Excel and Word.
Brief Description of Duties: Provide general office and clerical support to the Warehouse. Ensure that all material in the warehouse are accounted for, receive and distribute materials, and assist with usage reports. The selected candidate will be responsible for the following duties.
Receive deliveries by matching material to appropriate paperwork, IE; purchase orders, identify items following Central Stores procedures. Generate material receipts into state and local computerized purchasing systems. Ensure the receipt of all material is accurate and recorded properly in the computerized work order and procurement systems. Label and put away material appropriately. Work within various reports and utilize a number for different computerized software systems.
Track incoming pick ticket orders according to schedule and remove inventory from the departments work order system once order is processed. Track back orders and contact staff when material arrives. Schedule deliveries for prepared supply order both on campus and to the campus community. Provide excellent customer service skills. Maintain a good working relationship with all relate departmental staff.
Assist with inventory photographs, warehouse labels and signage, service window inventory books. Assist customers when needed.
Assist with daily cycle counts of inventory and annual physical inventory counts. Ensure that the daily cycle counts of inventory match what is in the work order system. Maintain records of physical inventory (i.e. location and status of equipment and furniture) and perform physical inventory updates.
Track and monitor inventory usage. Create required reports on inventory usage for the manager.
Print, file, and follow up on outstanding purchase orders. Ensure all files are organized and maintained for the warehouse.
Assist with purchasing departmental operating supplies. Purchase items directly from State contracts, prepare and process purchase order for standard materials and supplies for the warehouse according to procedures and guidelines.
Maintain satisfactory attendance records, according to Physical Facilities work rules.
Perform other duties as assigned, as appropriate to rank and departmental mission.
Special Notes: This is a full-time position, 37.5 hours per week, Monday through Friday, 8:00 a.m. to 4:30 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Mandatory rehire roster candidates have preference.
