Brief Description of Duties: Stony Brook University's School of Health Technology and Management (SHTM) invites applications for a Secretary 1 position in the Dean's Office. Reporting to the Associate Dean for Operations and Academic Programs, the incumbent will serve as the principal administrative support tasked with carrying out the day-to-day administrative activities required to accomplish the work of the Associate Dean and Dean's Office, the tasks of which broadly include: establishing office procedures; designing office filing systems; implementing office policies and procedures; maintaining efficient work flow; resolving day-to-day operational issues; responding to phone calls; sorting mail; organizing and expediting projects; and coordinating information flow by acting as liaison among SHTM leadership, faculty, staff, and students.
Stony Brook University's School of Health Technology and Management (SHTM) is dedicated to the education and training of highly competent healthcare professionals who can assume leadership roles in diverse healthcare settings. SHTM offers baccalaureate, master's, and doctoral degrees in both clinical and non-clinical areas that include athletic training, clinical laboratory sciences, health science, occupational therapy, physician assistant, physical therapy, respiratory care, and applied health informatics. We also offer non-credit certificate programs in anesthesia technology, EMT paramedic, medical dosimetry, phlebotomy, polysomnographic technology, and radiologic technology. The selected candidate will perform the following duties:
Gather data relevant to complex or unusual inquiries in order to provide a basis for a reply or a decision and/or draft the reply.
Answer the telephone, respond to questions concerning policy or procedures and refer calls to appropriate staff member for very technical information.
Monitor and track status of program activities.
Prepare responses to letters concerning program, policies and procedures for supervisor's signature.
Review incoming and outgoing correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy, program information and conformance to instructions.
Set up and maintain files (including electronic) of correspondence/documents, code and file material, search for requested material and periodically purge obsolete material for storage in records center or for disposal.
Schedule meetings and maintain calendar and make travel arrangements and prepare travel vouchers.
Arrange conferences; assemble and coordinate background materials for meetings and conferences.
Transmit instructions from supervisor to appropriate staff orally, in writing or electronically and follow up to see that instructions are followed and deadlines are met.
Prepare reports using statistical and narrative information. This may require the use of a variety of software packages in order to obtain necessary data. May analyze information and make recommendations.
Review need for procedural changes or modifications in the office, implement or suggest new or revised procedures.
Review forms used by the organizational units, suggest changes and draft new forms.
Other duties as assigned as appropriate to rank and departmental mission.
Special Notes: This is a full-time position, 37.5 hours per week, Monday through Friday, 8:30 a.m. to 5:00 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Mandatory rehire roster candidates have preference.
