Program Coordinator, Outreach Centers - CCB&E 11243
The John Chambers College of Business and Economics at West Virginia University is seeking applications for a Program Coordinator. This position will provide program coordination and office administrative support to the directors, faculty, staff, and students to the John Chambers College of Business and Economics Outreach Centers: Brickstreet Center for Entrepreneurship and Innovation, Bureau of Business and Economic Research (BBER), and Center for Executive Education.
In order to be successful in this position, the ideal candidate will:
Coordinate overall organizational and meeting functions under the supervision of the Center Directors.
Maintain registration activity, oversee sponsorship commitments, manage speaker/instructor database, develop speaker/instructor contracts, track financials, execute hospitality and catering with Event Services department, implement marketing campaigns with the Communications and Marketing department, perform website updates with the Front End Developer, and assemble event materials
Communicate directly with event attendees, speakers/instructors, and sponsors
Coordinate day-of logistics for face-to-face and online programs
Provide office administrative support by coordinating day-to-day activities to ensure efficient and effective delivery of services and products
Negotiate agreements and programs with professional associations regarding continuing education credits.
Generate annual reports on Center programs, continuing education credits, and grants/contracts in conjunction with Center Directors and the Communications and Marketing department.
Format and release Center reports, announcements, and newsletters using appropriate e-mail system and generate appropriate mailing lists and contact information
Prepare various documents, including client contracts, faculty overload agreements, non-disclosure agreements, confidentiality agreements, etc.
Provide budgetary support for various Center accounts and projects, including invoicing, personnel budgeting, reconciliation, procurement, travel and related matter
Process and manage all financial and business transactions related to Center faculty, staff, students, clients, vendor invoices and payments, purchasing, and invoicing.
Assist in the preparation and submission of research proposals and budgets to the WVU Research Corporation, Office of Sponsored Programs, WVU Foundation and external clients
Facilitate all travel and lodging arrangements for Center faculty, staff, students, and clients.
Oversee office maintenance and logistics.
Efficiently manage several student workers
Travel to the programs and coordinate on-site meeting logistics as needed.
Pay Grade: 15
Bachelor's degree in economics, business or related field is required.
2 years' experience in a fast-paced professional office environment involving:
financial reporting, invoicing, and record keeping
proofreading/editing of written text and other documents
Driver's license is required for travel to/from programs, and to coordinate on-site meeting logistics as needed.
