The Disabled Students’ Program (DSP) is recognized for its commitment to ensuring that all students with disabilities have equal access to educational opportunities at UC Berkeley and helps students to achieve academic success through its programs. DSP provides a wide array of legally mandated services to students with disabilities and consists of approximately 38 FTE, serves over 2900. students, and hires over 400 service providers and student volunteers to provide educational support to this growing population.
The purpose of this position is to provide program support to the Disabled Students’ Program (DSP) in providing test-taking accommodations and services to students with disabilities in accordance with federal and state law. The incumbent assists the Test-Taking Accommodations Supervisor in serving more than 2,900 students with disabilities, and over 250 faculty members each semester. The Test-Taking Accommodations Coordinator is responsible for assisting the Supervisor in screening, selecting, hiring, and scheduling up to 60 Student Proctors each semester. The incumbent is responsible for assisting the Test-Taking Accommodations Supervisor in hiring and staffing 4 primary proctoring locations on a daily basis. Provide additional assistance in coordinating with DSP Alternative Format Services, and routine e-mail correspondence with instructors or departmental representatives.
COORDINATION AND SCHEDULING •Under the general supervision of the Test-Taking Accommodations Supervisor, the Test-Taking Accommodations Lead is responsible for the day-to-day scheduling of Student Proctors and scribes. •Assists in overseeing the scheduling of 4 primary DSP proctoring locations and ensures that each location is adequately staffed and supplied with necessary materials. •Responsible for working independently in a satellite location and serve as the work lead in the absence of the Supervisor. •Coordinates the procurement of office supplies, material, and equipment, as needed, to stock 4-10 proctoring locations in preparation for exams each day. •Assists with facilitating and scheduling proctor deployments at the request of faculty and provide coverage when needed. •Responsible for after-hours proctoring during peak times in the semester. .•Notifies Supervisor if Student Proctors require corrective action.
TRAINING AND HIRING •Responsible for completing the necessary hire/rehire paperwork and onboarding for 40-60 Student Proctors each semester, creates tickets in ServiceNow, and works collaboratively with supervisor and HR Generalist to complete the hiring process. •Participates in the interview selection of Student Proctors and is the primary work lead for assignments and proctor training. •Creates and maintains student assistant staffing list and assignment rosters. Provides individual and group training to student proctors as it relates to disability accommodations, FERPA, exam guidelines and department procedures.
DATABASE MANAGEMENT & SCHEDULING SYSTEMS •Creates and maintains detailed case notes regarding DSP student communication, and follow-up action(s), updates applicable record-keeping systems as necessary and escalates any problems to management. •Uses commercial scheduling software to monitor and create proctoring shifts, staff assignments, and proctoring locations. •Maintains proctoring workstation inventory/access control over pc computers, laptops, assistive technology software, and proctoring hardware peripherals.
OTHER •Provides administrative and technical support to the Test-Taking Supervisor. •Compiles detailed data and assists in the completion of reports. •Other duties as assigned.•Knowledge of the legal framework involving accommodations for disabilities through state and federal laws and regulations in relation to the narrow focus of specialization. •Excellent communication skills and ability to interact in a positive manner with campus community, including staff, students, academic personnel, management, and the general public in a multicultural, fast paced, student focused environment. •Excellent attention to details, high level of accuracy, organizational and analytical skills. •Ability to keep sensitive information confidential and exercise political acumen. •Ability to analyze problems, determine and locate sources for obtaining information, offer recommendations, and follow through to final solutions. •Ability to prioritize work and meet conflicting deadlines; ability to manage multiple tasks simultaneously and produce timely and accurate results. •Ability to work independently with only general guidance from supervisor. •Advanced computer knowledge, proficiency, and skills. Must function effectively in both a Mac and PC environment and have ability to use multi-user database management program (Filemaker Pro) and other campus database systems. •Must be skilled in software for database management, spreadsheets, word processing, and calendar control.
