The Administrative Associate IV, works under general supervision and provides advanced administrative support work.
Performs day to day operations and administrative tasks related to the areas of the Student Success and Access and Inclusion to support the mission of Texas A&M University-Central Texas.
Performs a variety of specialized tasks including typing, takes and/or transcribes dictation, prepares correspondence and reports, arranges meetings, schedules appointments, and maintains administrative records and files. Directs incoming and outgoing telephone calls, takes messages, directs walk-in traffic, and handles incoming and outgoing mail.
Greets and helps students and visitors with issues/concerns, answers questions, routes mail, answers the telephone and directs the filing of materials. Answers general questions about the university.
Arranges travel for the staff. Monitors the departmental budget by tracking expenses, reconciliation, and preparing purchase requests and travel requests/vouchers. Maintains office supplies by ordering, procuring and taking periodical inventory of supplies. Stays abreast of all related policies and procedures involving purchases. Serves as contact person for the office equipment repairs.
Assists staff in maintaining databases, departmental records, and travel documents. Assist the Office of Student Success and Access & Inclusion with appropriate software for program usage.
Delivers excellent customer service skills to students, faculty, staff, community members and guests.
Advises students, employees, and those visitors of the institution regarding policies, procedures and rules.
Assists in the creation and distribution of fliers and other marketing materials.
Performs other duties as assigned.
Education â“ High school diploma or equivalent combination of education and experience.
Experience â“ Four years of related experience.
Knowledge of â“ Knowledge of word processing, spreadsheet, and database applications.
Ability to â“ Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Strong interpersonal and organizational skills. Ability to work with sensitive information and maintain confidentiality.
This position is identified as a Campus Security Authority (CSA). A CSA reports non-personally identifying information to the Department of Public Safety related to incidents that fall within the Jeanne Clery Act. Working knowledge of and completion of annual training on the Jeanne Clery Act is required.
Hours: Mon-Fri; 8am-5pm (on occasion, some nights/weekends )
