POSITION DESCRIPTION: The Administrative Coordinator under the direction of the Associate Dean, Assistant Dean for Clinical Education and Department Manager, including a wide range of related administrative duties. Collaborates with other student coordinators on team on all-staff projects. Work involves planning, organizing, administrative duties and data-entry input.
Clinical Rotations Affiliation Agreements; Prepare/track/maintain affiliated sites and its preceptors data in Database program; maintain agreement paper files
Process applications and reappointment paperwork, checking for full completeness and accuracy
Maintain regular cooperation and compliance with TUCOM policies
Prepare documents for Credentialing Committee review
Maintain and update database to track applications and the credentialing process
Prepare Affiliation Agreements and Credentialing files for audits and maintaining electronic data
Prepare records for auditing by running tracking reports as needed
Processing CME credits for Adjunct Faculty Preceptors: providing Preceptors with CME certificates or Transcripts and reporting CME credits to AOA
Assistance to Associate Dean, Assistant Dean, Clinical Medicine Course Director and Department Manager
Provide administrative support such as generating and distributing mailings
Verbal, written correspondence with students/sites/preceptors via e-mail, fax, phone, walk-ins and postal service
The Administrative Coordinator is responsible for the day to day activities for administering the clinical rotations if needed
Data entry into rotational database program
Other duties and responsibilities as assigned
Bachelor's Degree preferred, minimum two years study at an accredited College/University or equivalent job expense at college setting
Organizational and time management skills with meticulous attention to detail
Ability to take initiative and work creatively and independently
Work experience that demonstrates a confident and professional work style, including respect for confidentiality, the ability to exercise good judgment in stressful circumstances, ability to meet deadlines, be detail-oriented and be flexible with job assignments
Interpretation of department/college policies and procedures; assists with the development and implementation of new internal policies and procedures
