Essential Duties and Responsibilities:
The primary purpose of this position is to provide administrative support to the University Registrar, including but not limited to:
Manage and organize the University Registrar's calendar to include scheduling meetings, sending reminders and conducting a weekly review with the University Registrar in preparation for the coming week(s).
Field calls and inquiries for the Registrar and handle communications back to parties on behalf of the Registrar as needed or required.
Compose materials for Registrar for use in workshops and meetings.
Oversee the day to day functional needs of the office for the Registrar and keep Registrar informed of issues, concerns or problems needing to be addressed.
Maintain a thorough working knowledge of standard and professional office practices and procedures in an academic environment, and the goals as a whole for the office set by the University Registrar.
Serve as a primary backup contact for visitors via phone, email and in person.
Answer all types of questions and maintain a broad knowledge of all operations within the Office of the Registrar, Enrollment Management and the campus in general in order to effectively serve faculty, staff, students and visitors.
Serve as the budget manager for the Office of the Registrar by managing all aspects of the budgets for the main department budget and commencement budget, including monitoring, balancing, and reconciling, and make recommendations regarding use of and distribution of funds to Registrar.
Ensure accurate tracking of all projected and actual expenditures daily, maintains an in-depth knowledge of the P-card purchasing policies and procedures as well as University policies and procedures for purchasing.
Coordinate all travel related matters for the University Registrar including but not limited to all travel requests, authorizations, reimbursements and travel arrangements.
Purchase office supplies for the office and maintain an inventory of supplies for the office.
Assist with ensuring website updates of content are reported to Registrar as needed or required.
Serve as the primary sole submitter and processor of work orders for the office.
Provide some administrative support for Commencement and assists with the organization and event management of all ceremonies as needed or required throughout the year.
Assigned additional duties as needed or required as workloads shift and/or office changes are implemented.
Student services experience.
Accounting, budget and/or bookkeeping experience.
Familiarity with University policy and procedure and Banner – Finance, Student, P-Card.
