The purpose of this position is to provide administrative assistance to the G3 Project Manager and the leadership team. This position will maintain a welcoming atmosphere in the office, answers telephone and visitor inquiries, and assist the lead faculty for each of the ten G3 pathways. This position will assist the G3 leadership team with reports, presentations, and projects by preparing word processing, spreadsheet, and PowerPoint documents. The administrative assistant will serve as the office manager, helping to coordinate the activities and events within and among internal and external departments. *This position is funded through a grant and is a short term position that will only last 8 months.* Core Responsibilities: * Maintains the office during various hours, including some evenings Monday through Friday and other hours as requested. * Guarantees confidentiality of all G3 grant related documents and activities, as well as the college sensitive information. * Assists G3 leadership team and faculty with the use of college technologies. * Assists with organizing the G3 grant related documents * Assists with setting up meetings, conference registrations, and making travel arrangements. * Provides information and assists a wide range of clientele by following G3 grant requirements, college and VCCS procedures and guidelines as it applies to program specific requirements or options. * Assists the program leadership team by tracking and monitoring the budget * Maintains a record of all meetings and disseminates information to appropriate team members and constituencies. * Submits and monitors purchase requisitions. * Maintains a variety of records, such as inventories of supplies and materials; prepares correspondence, forms and reports. * Produces documents as assigned and assists with maintain filing systems. * Attends division meetings as a note taker in regards to G3 work and projects. * Accurately and professionally advises students, faculty, staff and visitors, where applicable, concerning G3 and answer questions regarding policies, procedures and guidelines. * Responds to inquiries in regards to the G3 program and direct questions to the proper person or area when unable to answer question or solve problems. * Communicates on behalf of the G3 program with other internal college offices, government and educational agencies, and business and industry. * Answers questions about college policies and procedures in a professional manner.
