Department Summary The Portland Administrative Services Group is an auxiliary support group within the College of Design (DSGN) whose primary function is to provide administrative support for all of DSGN's Portland-based departments and programs. Administrative support includes comprehensive support of all faculty, student, and Department Head/Program Director requirements. The PDX Administrative Services Group maintains a closely integrated relationship to the DSGN Office of the Dean, Eugene Business Operations Team, and departments and programs based in Eugene.
Position Summary The Manager of Administrative Services (MAS) reports to the DSGN Administrative Director and is responsible for ensuring that all administrative needs of supported programs are met in a manner that allows the programs to operate professionally, efficiently, and within their budgetary means. Located in Portland, the MAS receives guidance and direction from Office of the Dean and the Program Directors in both providing direct support of Portland-based initiatives and in deploying appropriate PDX administrative resources to effectively accomplish objectives. The MAS is responsible for identifying potential conflicts and issues before they become problems and makes recommendations to the DSGN Administrative Director on how to deal with any identified issues. The MAS manages and resolves issues under the DSGN Administrative Director's guidance, operating with a high degree of independence within the scope of the assignment.
The MAS manages two classified workers in providing the necessary support to DSGN's Portland-based programs. The MAS serves as an administrative advisor to the department heads and resident faculty, helping them to both navigate and manage the administrative portions of those appointments.
Minimum Requirements • Bachelor’s degree or equivalent combination of education and experience. • Three years of supervisory experience of one or more employees; OR three years lead staff experience with appropriate supervisor training.
Professional Competencies • Excellent oral and written communication skills; attention to detail. • Excellent organizational, problem-solving, project management and time management skills. • Proven proficiency with Word, Excel, PowerPoint, and Outlook (or similar scheduling/calendar program), and familiarity with Microsoft Office applications. • Demonstrated ability to manage stressful or difficult situations in a calm, constructive, and professional manner, particularly as it relates to handling sensitive and/or confidential information. • Demonstrated overall commitment to promoting and enhancing diversity including the ability to communicate and work effectively with individuals from diverse backgrounds and cultures. • Ability to accommodate evening and weekend schedules when programmatic needs warrant.
Preferred Qualifications • Bachelor's or advanced degree in relevant field. • Experience in executive-level support in higher education.
