Functions as the Assistant to the Chair of Veterinary Biosciences in the College of Veterinary Medicine, providing comprehensive daily administrative support to the Chair and faculty members as needed; maintains a high level of discretion in the handling of confidential matters; coordinates and maintains the effective scheduling of time for the Chair; plans meetings, retreats, the department alumni and friends reception, and other events; develops and prepares various types of written and electronic correspondence including letters, invitations, agendas, schedules, and itineraries; reviews documents requiring signature and response to ensure compliance with university policy and that all documents are being maintained within specific timeframes; responds to inquiries and resolves problems on behalf of the Chair as needed; follows-up regarding information, documents or responses required by the Chair; serves as a liaison to internal and external organizations; assesses inquiries and concerns directed to the office, determining course of action and delegating to the appropriate person to manage; coordinates faculty annual reviews, faculty promotion and tenure process, faculty searches and onboarding of new faculty; provides strategic research and pre-planning activities for meetings; represents the organization in a highly professional and executive level manner; attends key meetings as required; records and transcribes minutes and disseminates information as appropriate; researches information and provides guidance on pertinent issues as needed; oversees and supervises departmental administrative staff including recruitment, training, professional development and assessing performance; manages and provides general office support including answering phones; serves on college and university committees as needed; serves as a backup approver for timesheets; manages and completes special projects and other duties as assigned. Requires the successful completion of a University background check.
Bachelor's degree or an equivalent combination of education and experience; business experience in an administrative capacity; knowledge of university policies, rules and regulations; proficient in Microsoft Office Suite; proven experience editing documents.
Experience with Qualtrics and other University systems (eRequest, eTravel).
Target Salary: $47,500.00 - $52,000.00 Annually
