About the Position: The department of Financial Services is committed to supporting the academic mission of the University by providing financial services to meet the needs of the entire Cal State Fullerton community. We are seeking an exceptional individual to join our team as an Accounting Assistant (Accounting Clerk). Reporting to the Director of Accounting Services and Financial Reporting (ASFR), the Accounting Assistant performs routine clerical duties of limited scope in support of ASFR. Follows specific instructions and well-defined procedures. Performs routine and repetitive financial or cash-related clerical duties. Reviews repetitive financial documents for accuracy and completeness. Responds to routine accounting inquiries and refers them to the appropriate staff member when more extensive interpretation is required. Uses standard office equipment such as copier, fax machine and printer. Under general direction, provides general accounting support tasks to the department. Performs routine clerical functions such as sorting mail, filing, responding to emails and scanning of completed accounting documents. Responsible for auditing all petty cash and change fund accounts on campus to ensure compliance, maintaining log of audit activity and reporting findings to Director. Run daily and monthly financial reports and distribute to campus departments. Data entry into various forms and accounting systems. Prepares check requests and deposit forms and assists with travel accommodations. Scans and uploads documentation for record retention. Conduct daily review of system generated journal entries to ensure there are no errors. Perform activities to ensure accurate and timely processing of non-student invoices. Works with customers to resolve past due invoices and follow up to ensure any and all issues are taken care of. Processes customer write-offs and adjustments according to established guidelines. Assembles financial documents for external auditors. Abides by all company procedures and accounting principles. Performs other duties as assigned.
Essential Qualifications: Working knowledge of mathematical and general office methods, practices, and procedures. Ability to learn basic financial record-keeping methods, procedures, and practices; make mathematical calculations with speed and accuracy; maintain files and records; follow oral and written directions; communicate effectively with others; read, understand, and apply rules and regulations; and use current computer word processing and spreadsheet software programs, web browsers, integrated financial systems and/or other types of records management systems, such as student accounting, cashiering and student financial aid to complete tasks. Read and write English at a level appropriate to the position.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
