Provides administrative support of Patient Access Services in tandem with Administrative Asst II. Responds to Directorâs needs by consulting with others as appropriate or by following established departmental guidelines. Organizes flow of daily operations to ensure organizational priorities are met. Reports to Director, Finance and Administration.
Processes incoming & outgoing mail
Coordinates ordering of supplies/equipment
Checks inventory weekly
Receives and restocks supplies upon arrival
Maintains inventory of departmental computers
Assists in event planning/employee engagement for department
Creates department-wide communications and distributes accordingly
Purchases supplies and food for events
Ensure that all departmental invoices are processed on a timely basis by communicating when needed with VUMC Disbursement.
Calendar assistance â book meetings
Reserve rooms for assigned conference rooms
Support all Directors as needed (calendars, small projects)
Perform various other administrative and clerical duties as needed â cross train with AA II
Â·Job requires High school graduate or GED
Â·1-2 years of relevant experience
Â·Experience with Excel, Outlook, and Vanderbilt purchasing systems
Â·Experience in office administrative setting
