The Undergraduate Coordinator provides coordination and high-level administrative support for the Chair, Administrator, Director of Undergraduate Studies, and Senior Academic Advisor and act as a liaison between undergraduates and the Department. This role requires discretion, confidentiality, independent judgment, and strong analytic skills. Gathers information, answers questions, and processes student and faculty in-person request, as well as email and phone inquiries. Must have a professional demeanor with the ability to provide excellent customer service to a diverse audience. Must be a team player and have excellent collaboration skills. Ideal candidate will have a solid understanding of scholarly resources across the University that are available for both students and department faculty. Event planning, financial experience and an understanding of academic and curriculum planning are preferred. Key duties include:
Coordinate and support all aspects of the department main office administration.
Provides operational support to Directors, Administrator, and Academic Advisor and administrative support to Undergraduate program, faculty and students.
Monitor departmental email accounts and respond to inquiries as appropriate
Manages the department calendar, arrange appointments and meetings.
Maintain departmental equipment (printers, copiers, fax machine); order supplies.
Serve as editor and writer for the Department's website and social media accounts.
Holder of departmental procurement card which includes reconciliation requirements.
A Bachelor's degree or an equivalent combination of education and experience is required.
Office administration experience with demonstrated ability to carry out ongoing office administrative tasks effectively and efficiently in support of individuals, teams and/or units working experience in all facets of.
Strong organizational skills including the ability to manage multiple projects and adhere to deadlines.
Demonstrated competency and experience using Microsoft Office software, including; Excel, PowerPoint, Word, Outlook and Google Drive; social media.
Excellent written communication skills, including experience similar to writing technical documents, reports, newsletters, and developing content for marketing/public relations materials.
Excellent verbal communication skills, including experience or capacity to demonstrate positive interpersonal skills, develop and maintain collaborative working relationships and participate in or lead work groups and teams.
Highly Desired Qualification:
Working knowledge of academic resources and University systems (e.g. MAUI, ICON, Drupal)
At least 1 year of office administrative experience in a professional setting.
Basic ability to plan, organize, and execute events and to coordinate resources before, during and after an event.
Working knowledge in web content development and management. Including communications and related software applications (i.e., Adobe Photoshop, InDesign)
The ability to use creativity, reasoning, past experience, information and available resources to resolve issues and streamline processes.
Basic knowledge of electronic processing of systems, such as Workflow.
Basic knowledge of University policies, procedures and regulations.
