The administrative assistant provides administrative support for Residence Life and First Year Experience, serves as the central office manager, and is responsible for the direct supervision of the student central office assistants. These duties include, but are not limited to, responding to questions/concerns and providing excellent customer service, purchasing supplies for the department, and managing purchasing process through the PeopleSoft software program.
The Administrative Assistant provides support with departmental programs, processes, and events including check-in, check-out, housing selection and student staff leader and professional staff selection.
High school diploma required. Bachelor's degree preferred.
Experience in providing administrative support to professional staff, preferably senior management.
Effective written skills to prepare clear and concise, grammatically correct correspondence, letters, reports and forms.
Ability to track, collect, and synthesize data in spreadsheets and report formats
Experience in performing accurate and efficient typing and data entry.
Experience in maintaining accurate office files and records.
Good time management skills and the ability to prioritize duties when faced with interruptions, distractions, and fluctuating workload.
Excellent interpersonal skills with a diverse group of individuals at all organizational levels both inside and outside university.
Ability to use tact and diplomacy and to maintain a high level of confidentiality.
Ability to effectively use software systems and adapt to new technology as needed.
Strong editing and proofreading skills.
Demonstrated commitment to customer service, teamwork, and student support.
Strong organizational skills.
Proven ability in scheduling, calendaring and coordinating logistics for meetings and special events.
Demonstrated experience as a proficient user of work processing and electronic software, preferably of Microsoft Office Suite software.
Ability to use standard office equipment, including phone, copier and fax.
Ability to supervise student personnel on a daily basis.
Ability to handle crisis in a calm and professional manner, to counsel others in an informal setting.
Ability to mediate conflicts between individuals.
Residence life, student life, or other student affairs experience strongly preferred.
Experience with PeopleSoft and/or Starrez database systems.
Knowledge of Chapman University policies and procedures.
Bookkeeping and office management experience preferred.
