The Administrative Assistant provides support to Dodge College of Film and Media Arts. Serves as a liaison to faculty and staff relating to departmental questions including check requests, reimbursements, supply orders and contracts, responding to general enquiries. Maintains financial reports for tracking. Creates and processes p-card reports. Works closely with the Operations Manager and Budget Analyst on daily financial and operational administrative tasks, as needed, to help ensure adherence to college and university policies, and to promote efficiency and clear communication from within the Dodge College operations and financial office. Performs other duties as assigned.
Bachelor’s degree or equivalent work experience and education.
Experience in providing administrative office support.
Excellent organizational skills with the ability to prioritize multiple projects and complete them accurately when faced with interruptions, distractions and a fluctuating workload.
Ability to exercise initiative and work independently.
Ability to effectively deal with work volume, detail, repetitive daily input and time constraints.
Technical skills to learn and use enterprise systems and departmental tools, with working knowledge of Excel, Word, Outlook and financial software.
Solid writing and reasoning skills for business correspondence with the ability to edit and proofread documents.
Ability to learn policies and procedures, explain them, and apply them to new situations.
Strong arithmetic skills and accuracy of numbers.
Meticulous attention to detail.
Ability to relate to and supervise student workers.
Excellent guest service skills.
Strong communications and interpersonal skills to work with diverse constituents and a willingness to share information and respond to financial related questions in an understandable manner.
