This is a highly visible receptionist role for Mechanical Engineering main office. We are looking for someone with excellent interpersonal skills who can perform general office and clerical work as assigned, including filing, document processing, and other related work. In this role, you will provide general administrative support for Mechanical Engineering faculty, staff, and students while ensuring proficient customer service to all Mechanical Engineering guests.
Your core responsibilities will include:
Primary Mechanical Engineering receptionist and performs general office support. Responsibilities include: receiving guests; directing visitors; answering phones, signing for packages and routing to recipients; handling mail; distributing keys; reserving conference rooms; preparing office door tags; arranging for visitor parking passes; restocking office supplies; screening calls and taking messages; processing purchasing card reconciliations for self; assisting with shipping packages; ordering food for meetings; makes copies; may act as backup for other administrative staff, main backup for Academic Programs Coordinator.
Processes student expense reports, purchase orders; assists and is back up for Administrative Coordinator
Maintains department calendar to ensure that time-critical issues such as provisional and annual performance reviews, performance management activities, group meetings, project reviews, etc. are identified and adhered to. Produces, assembles and maintains reports and summaries.
Frequently required to respond directly to inquiries and requests regarding this information.
Makes purchases for student groups and department front office.
Creates purchase orders as needed.
Responsible for the distribution and security of the Mechanical Engineering department keys.
Responsible for shipping FedEx, UPS, and/or USPS.
Operates/maintains copiers, facsimile, and other office machines.
Arranges Mechanical Engineering department tours when needed.
Assists and is back up to the Academic Program Coordinator and the Administrative Coordinator.
Compiles data for student workers in the office, tour guides and machine shop.
Approves hours on a bi-weekly basis for student office workers and tour guides.
Other duties as required such as but not limited to: assistance with high profile meetings and event organization; Assisting Business Manager with ad hoc projects.
At least 3+ years of administrative support, office management and word processing experience.
Higher Education experience preferred.
Effective interpersonal, problem-solving, reasoning, organization, and planning skills.
