Work Schedule: Monday through Friday, 8:00 am – 5:00 pm, occasional evening and weekend hours.
Location: This postilion will work from the Palm Desert Campus.

Position Overview: Under the supervision of the PDC Associate Dean for Academic Affairs, the person selected for this position will coordinate the PDC Office of Academic Affairs. This will include: Coordinating front office operations for PDC Academic Affairs and managing office resources, providing quality customer service, coordinating tours and events in conjunction with admissions and student recruitment, monitoring student assistants and volunteers, assisting with academic scheduling including use of EMS and PeopleSoft scheduling systems.
The Administrative Support Coordinator, Palm Desert Campus Office of Academic Affairs will be responsible for the following:
Establishing a schedule for group and individual tours, manage logistics of activities, communicate with campus and outside partners as needed for event execution.
Assists in the creation of materials to include presentations, brochures, self-guided tour packets, agendas and marketing materials for events.
Sets the roles and responsibilities of staff volunteers for all events and activities under their purview.
Answer questions from community members, prospective students and other campus staff about the many things CSUSB/PDC has to offer to students and families, and train student assistants and volunteers to contribute to this process.
Must be able to work with other members of the Admissions and Student Recruitment staff to complete tasks and maintains a responsibility for keeping all those assisting with tours and events to be prepared for their assignment which includes the preparation of reports to document events and to assess the success of activities and events as it relates to time and budget concerns through comprehensive data-driven measurement and evaluation.
Coordinates front desk operations for Academic Affairs, including Admissions and Student Recruitment, the Associate Dean for Academic Affairs, and directing Academic Affairs student assistants.
Acts as the administrative coordinator for PDC faculty, assisting with all aspects of classroom and student administration, including SOTEs.
Responsible for tracking Academic Affairs Supplies and Operations Budget, purchasing supplies and equipment.
Monitor schedules of Admissions and Student Recruitment staff and events, and assist in managing the schedule of the Associate Dean for Academic Affairs.
Coordinating with the Department Chairs and ASCs on the San Bernardino Campus, reviewing draft schedules for conflicts and errors, communicating with faculty on scheduling issues.
Required to master EMS scheduling processes and programs.
Other duties as assigned.
Typical knowledge and skill requirements:
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Experience to be fully functional in all technical aspects of work assignments;
thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; thorough knowledge of English grammar, punctuation, and spelling;
Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages;
Ability to independently handle multiple work unit priorities and projects;
Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist;
Working knowledge of budget policies and procedures;
Ability to perform standard business math, such as calculate ratios, percentages, track financial data, and make simple projections.
Ability to draft and compose correspondence and standard reports;
Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
