Position Summary: The Events Manager works directly with the Associate Director of University Events to plan and oversee events on both the Wilf and Beren Campuses of Yeshiva University. In addition, the Event Manager serves on committees and works closely with clients and campus needs to optimize usage of the University space. He or she will work with in the Office of Events to ensure on-time delivery and implementation of all products, services, and set-ups necessary to carry out an event(s). The Manager will also maintain a strong working knowledge of the University event scheduling system (25Live) and use the system to schedule rooms and assign resources necessary to ensure successful events.
Responsible for coordinating assigned events, including logistical details for meetings and conferences, room reservations, catering, equipment rentals, parking and other related details as necessary and appropriate
Coordinate event setup by confirming that room setups are completed to customer requests, providing customer service in the building, accommodating last minute requests or altering the setup of a room to better suit the customer's need
Create custom event notes detailing customer needs and requirements for support staff to use during setup and while running events
Help maintain event scheduling system (25Live) and manages events in this system
Communicate event needs to on campus support services; Dining Services, Facilities, Security, ITS and Marketing & Communications
Meets with support services and clients regularly on both campuses to discuss event needs Answer calls from the general public pertaining to upcoming events
Updates event promotional descriptions, photos and registration links to University web calendars and ensures all events are properly categorized
Provide event updates and changes to all event stakeholders and service departments on a weekly, or as needed, basis
Establishes, cultivates and maintains effective working relationships with internal constituencies, collaborating with department staff to coordinate planning and production needs of designated events. Interacts regularly with event requestors to ensure a quality service experience
Experience & Educational Background:
Bachelor's Degree required
2+ years experience planning and coordinating logistics for events (educational or corporate)
Skills & Competencies:
Knowledge of 25Live event scheduling system is preferable
Ability to be proactive and take ownership of events
Ability to collaborate effectively with all levels of staff and clients within the University
