Position Summary: The Academic Administrator is responsible for the daily operational activity of the Office of the Dean and Yeshiva College.
Position Responsibilities: Operational Management
Review monthly and annual budget and expense reports for accuracy and precision including purchases, payroll expenses, and account transfers
Manage faculty, students, and office staff affairs including, day-to-day needs, requests, and data management
Support colleagues in learning and using University and technology programs: Banner, Argos, Microsoft Office, Google Docs, SmartEvals
Process student, faculty, and course schedule reports, among others
Continuously review and streamline college processes to ensure alignment with Yeshiva University Schools
Administer technology and software implementation processes; moderate college website and list-serves
Determine needs and priorities for room requests, space planning, IT services, University access accounts, and other shared operational resources
Communicate with IT and Academic Computing with regard to maintenance of classroom/office technology
Provide supervision and training to staff regarding school and organizational policies and procedures. Ensure that all employees are aware of special instructions from the Office of Safety and Security
Act as departmental representative for faculty and staff hiring, promotion, termination, salary adjustments and performance management reviews
Oversee special projects/programs including YC Book Grant, writing contests, and award ceremony
Departmental representative for hiring, promotion, termination, salary adjustments and performance management processes as it pertains to non-faculty positions
Prepare and review requisitions, EPAFs and faculty appointments
Assist dean with faculty recruitment and tenure activities:
Track all incoming CVs, reference letters and supporting documents for applicants
Work with HR to streamline the screening and registration process through iCIMS and Banner
Provide administrative orientation for new hires
Onboard faculty and student employees in conjunction with HR
Review and approve time cards in Kronos for staff and students
Provide University offices and faculty, with pertinent information through reports, written communications, forms and facilitate access to necessary documentation, and university systems
Act as liaison for the college to faculty, staff, University departments and vendors
Oversee faculty course evaluation process
Assist with special projects as assigned by the Dean or Associate Dean
Experience & Educational Background:
Bachelor's Degree required
5-7 years progressive office management / academic administration experience required
Master's Degree preferred
Skills & Competencies:
Advanced level of computer proficiency including Microsoft Office Suite and Banner.
Excellent written and verbal communications skills, so as to be and effective liaison for the college with internal and external population - including online web/social media
Strong interpersonal skills, and effective relationship development
Highly self-motivated and extremely organized
Strong analytical skills, with ability to find creative solutions, and implement resolutions toward desired results.
Effectively manages own time and resources
Proactive and team-oriented
